This is a check-list of the duties for the Friday night dances. You don't have do everything yourself - you just have to ensure that it gets done.
Beginning of Evening
- Arrive by 7:10, 7:15 at latest.
- Make sure the doors have been unlocked (i.e., not just propped open but fixed so they can be pulled open from the outside) by Mick or whoever else is doing sound. If not, however, get the Allen wrench from the upper right drawer of the desk in the lobby (or, possibly, the cash box) and fix the panic bars on each door so the tongue of the lock is retracted. (It is much easier if you relieve the tension by pushing on the bar a bit.)
- Switch on porch light & lights in lobby.
- Winter: If the heat has been turned on (most likely by band folks who don't want to be too congealed to play), consider whether it is time to turn it off. If it hasn't been turned on, it may be best to leave it off. If it should be turned on, make a mental note to turn it off soon - before the dancers overheat the hall! To turn on heat, flip the marked switches (green lights are illuminated), turn the timer knob and adjust the thermostat.
- Summer: Turn on AC.
- Push all four toggles up and turn both dials to the right. Two green lights will come on.
- Move settings for the two thermostats on the right to 60 degrees (not lower). Do not adjust the two thermostats on the left. Under the thermostats put the switch to Auto (not cool).
- Make sure all lights switched on (top 5 switches in each breaker box - indicated in red).
- Set up cash box table (find it & cash box in closet containing sound equip.), determine whether a $6 or $7 eve. (from CCD flyer - or see if band is local or out-of-town) and put out sign w/ correct insert ($6 or $7) showing.
- Check that band & caller have arrived/are arriving. Make sure caller plans to teach warm-up class and if not (hardly ever happens except w/ out-of-town caller & rarely even then), teach it yourself or find someone to teach it. Give get-in-free-next-time cards (should be located in cash box or in a small box in flyer crate - or see Joseph) to whomever is teaching the class (& if out-of-town caller, tell him or her to explain that they are for people who've never been to either the Fri. or Tues. dance before & are CCD's incentive to come back because you get in free NEXT time - not tonight). Remove chain(s?) from door(s?) at either(?) end of scoreboard side. We don't have many pyro bands, but still.... Besides, it is no doubt a Fire Marshal requirement.
- Hang name-button banner (find in equip. room) on eye-bolt above vent on the wall back near where the clothes usually are.
- Set up tables for flyers (equip. room) & put out flyers (in red plastic milk crate in equip. room). Discard out-of-date flyers. Put up shoe poster on its easel. (Also in equip. room - set up near cash box table.)
- If doorkeeper hasn't arrived by 7:30, ask someone to take money until doorkeeper arrives or dance starts (and, if necessary, make arrangements for cash box to be covered during first half of dance).
- Assist with setting up sound if necessary.
- Just before 8:00, close the doors to the gym on the hall between the sound equipment room and the gym and put a chair in front of them on the hall side. (This is to prevent new folks coming down the stairs at the end of the warmup class from innocently going through those doors & thus inadvertently skipping the cash box.)
End of Evening
- Arrange for sweeping of floor (brooms are in small closet in hall near stairs - sound person's key for room w/ sound equip. will open closet door).
- Check that treasurer (or designee) has paid band, caller, sound person and doorkeeper. Put away flyers, etc.
- Check the church walls for signs, flyers and posters and take down any that are found.
- Pick up trash, bottles from bleachers. Put leftover clothes in Lost & Found box in corner of equip. room.
- Assist with take-down of sound, if necessary.
- Restore chain(s?) (must be tight enough to prevent opening from outside - but not, as you will sometimes find at the beginning of the evening, so tight that it's almost impossible to undo!).
- Check that no one is hiding upstairs (mainly a winter thing - Church has asked us to do - never found anyone yet) or in any of the rooms (may not want to do this alone).
- Turn off gym lights. Actually, it helps in gradually moving folks out to turn off a few lights, then after a bit a few more, etc.
- Winter: Turn off heat.
- Flip the marked switches (green lights are no longer illuminated).
- Summer: Turn off AC.
- On the right units, turn all four toggles off.
- Turn both dials to zero. Both green lights should go out.
- DO NOT do anything with the two thermostats on the left.
- Lock front doors w/ Allen wrench.
- Toss out those still chatting in lobby and turn off porch light and lights in lobby.
- Go directly to Manuel's and settle in.
